CONSTITUTION

 

 

 

    Preamble

 

Students of Caribbean Ancestry exists to educate and promote fellowship among students of Caribbean heritage and those interested in the Caribbean through discussion groups, forums, social gatherings, and other activities pertinent to Caribbean life. SOCA aims to educate and share Caribbean issues, culture and perspectives with all people interested in the Caribbean. Much like the Caribbean, SOCA is inclusive of all ethnic and lingual groups and aims to promote fellowship across all lingual, racial, ethnic boundaries.

 

    Article I: Name

 

The Official name of this organization shall henceforth be the “Students of Caribbean Ancestry” (hereafter referred to as SOCA).

 

    Article II: Purpose

 

It shall be the sole purpose of SOCA to:

        Section 1:

Our purpose is to promote intellectual and social interaction among Caribbean students and the North Georgia College & State University student body.

Section 2:

Pro-actively work closely with Admissions to assist in the recruiting of prospective members.

Section 3:

Provide emotional, mental, moral and any other support necessary to members.

Section 4:

Provide non-academic advice to anyone who seeks it from a student’s perspective.

Section 5:

Provide an opportunity for every interested student to get the most excitement, enjoyment and benefit from their experience at North Georgia College & State University.

Section 6:

Provide both social and cultural activities for both the group and the entire campus.

Section 7:

Work diligently on presenting a clear conception of the Caribbean to the entire student body.

Section 8:

Attempt to heighten political awareness and provide first hand perspectives on developments in the Caribbean region.

 

 

 

    Article III: Membership and Dues

 

        Section 1:

SOCA can best accomplish its goals chartered as a support group with open membership to anyone with Caribbean heritage, ancestry, or interest. SOCA membership is open to the entire campus regardless of sex, race, color, age, religion, national origin, sexual preference or handicap.

Section 2:

An official SOCA membership card will be issued to all members.

 

    Article IV: Elected Office Bearers

 

The operations of SOCA shall be headed by five elected officers hereafter referred to as: Chief Officer, Deputy Officer, Finance Officer, Marketing Specialist and Secretary.

 

            Section 1: Chief Officer

§                     Represent all members in all functions and affairs with faculty, staff and students of NGCSU as well as the local community.

§                     Be responsible for the formulation of all programs and activities of the SOCA.

§                     Call meetings and prepare agendas, in consultation with other board members.

§                     Chair and conduct all SOCA meetings.

§                     Prepare an annual report of all activities and accomplishments of the board’s term of office.

§                     Maintain frequent communication with all officers and members.

 

Section 2: Deputy Officer

§                     Perform the duties of the Chief Officer in his/her absence.

§                     Coordinate with the other officers to plan and organize activities.

§                      Responsible for ordering and paying for any bills or expenses incurred by the SOCA.

§                     Be a liaison between members and officers.

§                     Prepare an annual report progress and activities in that office.

 

Section 3: Finance Officer

§                     Accountable for all monetary transactions of the SOCA.

§                     Make proper bookkeeping of SOCA accounts.

§                     Record each transaction.

§                     Prepare fiscal year budget and recommendations.

§                     Coordinate with the Deputy Officer to purchase and pay for items of the SOCA.

§                     Responsible for all relations with the bank including deposits, withdrawals and bank statements.

§                     Actively collect all money due to SOCA and actively pay all bills and expenses with the coordination of the Deputy Officer.

§                     Prepare estimated revenues and expenses of SOCA events with a break-even analysis.

§                     Prepare an annual financial report.

 

Section 4: Marketing Specialist

§                     Responsible for the promoting and recruiting of new members.

§                     Design, develop and maintain the SOCA website.

§                     Design and develop marketing tools such as flyers, posters, emails, merchandise etc. and update as necessary.

§                     Take photos in SOCA events and other times necessary.

§                    Source cheaper suppliers of SOCA merchandise.

§                     Sell and give away merchandise, with the coordination of the Deputy Officer, in every avenue possible including the web site.

§                    Design the SOCA membership card.

§                     Report to the Finance Officer for any funds necessary to pursue marketing duties.

§                    Prepare an annual report progress and activities in that office.

 

Section 5: Secretary

§                     Responsible for recording and taking up to date minutes of every significant issue in all meetings.

§                     Maintain a roster of SOCA members.

§                     Responsible for maintaining and preparing all paperwork related to SOCA.

§                     Source and maintain all member information and contact information in profiles.

§                     Responsible for all correspondence and written work of the SOCA.

§                     Work in conjunction with other officers on a monthly newsletter that keeps the members informed of SOCA activities.

 

    Article V: Elections

 

      Section 1:

§                     No freshman shall be allowed to run for the post of Chief Officer.

Section 2:

§                     All members are eligable to vote and run for election of any office only if attended the three prior meeting to elections.

Section 3:

§                     All elections are conducted by secret ballot at a location pre-determined by the current officers. All members must be notified at least two weeks of elections.

Section 4:

§                     All newly elected officers must read and sign the constitution indicating that they have read, understood and take responsibility of their role.

Section 5:

§                     Applications for office must be submitted to the Secretary no later than two weeks prior elections.

Section 6:

§                     Candidates are allowed no less than one week for campaigning and must respect the terms of election procedures according to the SGA.

Section 7:

§                     Elections are held annually at the end of spring semester.

Section 8:

§                     A simple majority vote is sufficient for candidate appointment.

Section 9:

§                     In the event of a tie, a rerun of office will be held in less than one week after.

 

    Article VI: Removal of Office

 

      Section 1:

§                     Upon receipt of a petition from any member for the removal of an officer, all officers except the one in question must unanimously vote to execute the request.

Section 2:

§                     Three consecutive unexcused absences of meetings will give the right of the other officers to unanimously vote to remove the officer from his/her position.

 

    Article VII: Amendments to the Constitution

 

            Section 1:

§                     Amendments to the constitution will be initiated by the submission of a petition. An 80% approval by all members is necessary for the change, along with the consent of all officers.
